Redact sensitive text in a PDF (video walkthrough)

What this video is showing (in plain English)

The video demonstrates how to black out (redact) specific text inside a PDF in DocKosha, and then save a new redacted copy so the original file stays unchanged.


Step-by-step (follow this exactly)

Step 1 — Open the PDF you want to redact

  • Go to Data Rooms (left sidebar).
  • Open the folder/data room where your file lives (in the video it’s Investors Docs).
  • Click the PDF to open the document viewer.

Step 2 — Start redaction mode

  • On the right side, in Document details, click Redact Document.
  • This takes you to a dedicated screen called Document Redaction.

Think of this as “edit mode” for redactions. Nothing is final yet.

Step 3 — Select the text you want to hide

  • Scroll (or zoom) until you see the text you want to remove.
  • Click and drag to highlight the word(s) or phrase(s).

Step 4 — Turn the selection into a redaction

  • After you highlight text, a small floating action appears near the selection.
  • Click Redact.
  • You’ll now see:
    • The selected text highlighted in the PDF (marked for redaction)
    • A new entry added to the Redactions list on the right (example: “#1 · Page 1 · ‘questionnaires’”)

Step 5 — Repeat for every sensitive part

  • Highlight another word/phrase (example from the video: “Secure Sharing” in the title).
  • Click Redact again.
  • The right-side list grows with each redaction you add.

Step 6 — Review or undo before finalizing

In the Redactions panel (right side):

  • Click Remove next to any item to undo just that redaction.
  • Click Clear All if you want to remove all redactions and start over.

Step 7 — Apply the redactions (this is the “finalize” step)

  • Go to the Apply Redaction section on the right.
  • Click the Apply redaction button (it has a dropdown arrow).
  • Choose one option:
    • Replace current document (overwrites the existing PDF)
    • Save as new document (keeps the original unchanged — this is what the video chooses)

Step 8 — Name the new redacted PDF

  • If you pick Save as new document, a popup appears: Name redacted document.
  • Enter a filename (the video uses something like: ... redacted.pdf)
  • Click Done and wait while it saves.

Step 9 — Confirm the result

  • You’ll see a success message like “Redacted copy created successfully.”
  • The newly created PDF opens.
  • Verify the sensitive text is now replaced with solid black blocks (true redaction).

Key idea to remember

Marking text ≠ redacting it.

  • Highlight + Redact = adds it to the list (a “to-be-redacted” marker)
  • Apply redaction = permanently generates the redacted PDF (final output)

Quick safety checks before sharing

  • Open the new redacted file and confirm every intended area is blacked out.
  • Make sure you share the redacted copy, not the original.
  • If you’re unsure, keep your original file untouched and always use Save as new document.
