Video walkthrough: Upload & organize documents (DocKosha)

This video is a quick “how-to” for using the Documents area in DocKosha to:

  • upload files (or whole folders),
  • create folders to organize your library,
  • preview a file to confirm it uploaded correctly,
  • and manage file versions when you upload a file with the same name again.

Step-by-step (what happens in the video)

Step 1 — Start on the intro screen

You see a title card that says you can upload documents, organize folders, and manage file versions, with a Get Started button.

Step 2 — Land on the DocKosha dashboard

After the intro, the app opens to the main dashboard.
On the left sidebar you can see main sections like Dashboard, Documents, and Data Rooms.

Step 3 — Open Documents

Click Documents in the left sidebar.

A tooltip appears explaining an important point:

  • Documents is where you upload files and organize folders.
  • This is separate from Data Rooms (data-room documents live in the data room context).

Step 4 — Begin uploading a file

An Upload files dialog opens.

In this dialog you can:

  • Drag & drop files into the drop area, or
  • Click Choose files (upload one or more files), or
  • Click Choose folder (upload an entire folder and keep its folder structure).

You also see storage usage (e.g., 0 B / 5.0 GB initially).

Step 5 — Start the upload

After selecting a file, click Start Upload.

Step 6 — Watch upload progress

You return to the Documents list page and a small Uploads panel appears (bottom-right).

This panel shows:

  • the file name being uploaded,
  • the progress bar,
  • and “processed” status (like 0/1 processed1/1 processed).

Step 7 — Preview the uploaded document

Once the upload completes, the file shows up in the table under My Documents.

To open it, you can:

  • click the document row (or),
  • use the preview (eye) icon on the right side of the row.

This opens a document viewer where you can:

  • read the PDF,
  • zoom in/out,
  • and see basic Document details on the right (file type, size, etc.).

Step 8 — Go back to the documents list

Click Back (top-left in the viewer) to return to the Documents list.

Step 9 — Create a folder to organize files

The video creates a folder called “Temo”.

You can create a folder in two common ways shown in the UI:

  • Use New folder (top-right), or
  • Use the dropdown action menu and choose Create folder.

A new folder row appears with a text box:

  • Type the folder name
  • Click Create (or Cancel to discard)

After creation, the new folder appears:

  • in the folder tree on the left (under My Documents),
  • and in the main file table.

Step 10 — Upload a file with the same name again (duplicate handling)

The video uploads the same PDF name again.

When DocKosha detects a duplicate filename, it shows a Review duplicate filenames dialog.

You get choices like:

  • Replace (overwrite the existing file — default)
  • Keep Existing (skip and keep the old one)

There are also “apply to all” buttons if multiple duplicates are detected.

Click Continue upload to proceed.

Step 11 — Confirm what happened (replaced vs kept)

Back on the Documents list, the upload panel shows completion and indicates the file was Replaced.

A tooltip suggests:

  • Preview the file again to confirm the correct version is now in place.

Step 12 — Check Version History in the document viewer

Open the document again.

On the right side, there’s a Version History panel. When a file is replaced, the previous version is listed with:

  • a timestamp,
  • and actions like Preview and Restore.

A tooltip explains the best practice:

  • Use Preview to review an earlier version before you restore it.

Step 13 — Preview an older version (Version Preview modal)

Clicking Preview opens a Version Preview modal so you can inspect that older file version without changing anything.

Step 14 — Restore (if needed)

If you decide the older version is the one you want, click Restore in Version History to revert.


Practical tips (based on the flow shown)

  • Use Documents as your “library” area for storing and organizing files.
  • Use folders to keep things clean (e.g., by client, quarter, project, etc.).
  • If you re-upload a file with the same name:
    • choose Replace when it’s truly a newer revision,
    • choose Keep Existing when you uploaded by mistake.
  • Always use Preview after replacing to double-check you didn’t overwrite the wrong thing.
  • Version History is your safety net: you can preview and restore earlier versions if needed.
